Meeting Room Request Form

The Greenfield Public Library has two meeting rooms -- the Community Meeting Room (up to 90) and the Conference Room (up to 30) -- that can be used by individuals, city groups, civic organizations, and nonprofits (501(c)3 documentation may be required) per our meeting room policy. All rooms are handicap accessible. Please check the library's calendar for availability before requesting space.

After hours meetings are not currently possible. Until our after-hour protocols are in place, all meetings must take place during open library hours. 

Library staff will contact you via email to let you know if your application has been approved. If you do not hear from us after one week, please call us at 413-772-1544 opt. 6 to verify that your application was received.

Meeting attendees are encouraged to park at the Greenfield Parking Garage at 40 Olive Street in order to keep the library parking lot available for library patrons.

Once the form is completed you will get a screen with this text:  “Thank you for submitting a meeting room application. A member of our staff will be in touch.” followed by an email.  If you did not see either of these, the library has not received your application.  Please check for errors and resubmit.

Cleaning (fee may be applied if room is not clean)*

I understand cleanup of the room is my responsibility. Tables will be clean and clear of debris, and I will remove any trash generated.

Authority to Reserve Room*

I certify I have the authority to reserve the room; and that the above statements are true to the best of my knowledge and belief.

Rules and Policies*

I have read and agree to abide by and uphold all rules and policies of the GPL governing the use of library premises, including regulations prohibiting an entrance fee/donation for my event.

Personal Release of Injury or Property Damage*

I agree to release, acquit, discharge, any and all claims or rights of action for any personal injuries or property damage which may occur as a result of the use of the above premises.

Holds Harmless Agreement*

I agree to protect, save, and keep the GPL Trustees, Library Director, their agents/staff free of harm and indemnified against from any and all loss, cost, or expense as a result accident/injury.

Cancellation of Event*

For security purposes, the upstairs floor closes 15 minutes before closing time. Main doors are locked 5 minutes before closing.
